Handling Off-Screen Speakers in Legal Transcripts

Occasionally during legal proceedings, you may hear someone speaking who is not officially part of the recorded session and is not mic’d directly. These off-screen speakers are typically picked up by another participant’s microphone, and while they are audible, they are not visible or formally introduced.

In such cases, transcribe their speech as accurately as possible and label the speaker as “Unknown Speaker.”

This typically occurs in a few scenarios, such as:

  • When an attorney experiences technical difficulties and a colleague or assistant chimes in to help troubleshoot.
  • When a paralegal or support staff member interjects with a clarification or logistical update.
  • When someone enters the room briefly—perhaps a court clerk or IT support—and is picked up on the mic while addressing a participant.
